More than 1500 hours of volunteer time are required to make this event a success. All families are expected to help for this day. Student call times will be announced as the event draws closer and Band and Pageantry students will have an opportunity to sign up for jobs in the band room on the white board.

Please be flexible. Our goal is to make our guests as welcome as possible by providing enough help for them throughout the day.
Exact shift times won’t be determined until band lineup is complete. Based on the number of bands signed up so far, we’re anticipating an am and a pm shift, covering from approximately 7 am until 11 pm. Shifts will vary with assignment.
Concessions-
Prepare and sell food on both the home side and visitor side (student bands sit on this side). You can request a particular area or job, but please be flexible and help where needed.

Food is prepared in the school kitchen and then delivered to concessions and the VIP/Directors' tent.
This is an indoor job.
Parking:
Direct buses and support vehicles in the Vista High School parking lot to assigned locations. Place signage and direct spectators and volunteers where to park off campus.

Stages the pit and incoming bands as they wait “on deck” to perform.
Monitors access to entrance/exit gates and ramp.
Carts

Transports supplies, equipment and people throughout campus as directed by lead and VIFT coordinators. Cart drivers are selectively assigned and trained.
Communications Equipment
Controls and assigns communication devices and trains volunteers on their use.

Welcomes VIPs (Dignitaries and officials, donors, directors and staff). Serves food and beverages. Ensures VIP Tent is clean and welcoming. Coordinates donations of food and beverages.
Directors Check-in

Checks in Band Directors as they arrive. Provide instruction packet and answer questions.
Judges’ Lounge
Full - No need for additonal volunteers
Provides dinner for judges. Coordinates donations of food and purchases. Creates a quiet and welcoming environment for judges to relax during break.

General entrance ticket sales

Sell tickets and programs at the Viewing (Home) side ticket booth. Provide wristbands.
Reserved seating ticket management
Full - No need for additonal volunteers
Staffs “Will Call” table where advance purchase tickets VIP are picked up.
All ticket sales volunteers need to be friendly, helpful and firm about enforcing ticket pricing and ticket limits. Must be comfortable counting and handling money.
Volunteers working in the stands serve as ushers, assist spectators in finding seats, and answer questions.

Front Gate – Viewing Stands Entry
Checks for and help with wristbands, answers questions, calls for shuttle to assist disabled attendees. Be welcoming but firm in enforcing ticketed access. Reports to Ticket Sales lead.
VIP Access Gate
Confirms VIP status, directs VIPs to VIP tent, answers questions. Be ambassadors of Vista Band Boosters; while firm about limiting access to only those with VIP status. Reports to Ticket Sales lead.
Field Gate
Prevents access from field to stands. Be friendly and firm. Reports to Viewing Stand lead.
Band Entry Gate
Opens gate for band entering field before competition; coordinates field access with Staging. Restricts all other access. Reports to Staging/Equipment lead.
Band Exit Gate
Opens gate for band exiting field after competition. Restricts all other access. Reports to Staging/Equipment lead.
Ramp Access Control
Prevents access to Viewing Stands from northeast ramp. Requires firm but friendly control. Reports to Staging/Equipment lead.
Visitor Stand Gate – Band Student Entry
Checks for wristbands, required for all entrants (including those watching/accompanying bands). Be welcoming but firm in enforcing ticketed access. Reports to Visitor Stand lead.
Merchandising - For sale merchandise is sold, including programs, tournament shirts and other items. If you enjoy talking to people, this is a great position to volunteer for.Noreen Fernandez LEAD

Band Escorts
Mike Meyer, Lead
Escort assigned to each band ensures that band reaches warm-up area and entry gate at assigned times. Acts as liaison to Band Director. Students are assigned escorts during the day; alumni or others during the evening.
Bathroom/Trash
Kandii Bautista, Lead
Monitors bathroom and trash cans throughout the school and stadium, including parking lots. Ensures clean and attractive grounds throughout the day. Works with Custodians for larger cleanups. As trash bags become full, replaces bags. A cart periodically picks up bags.Assistance also needed after VIFT to handle recyclables.
Closers
When tournament concludes, takes down chairs, tables, equipment and supplies. Cleans up stadium and stations throughout campus. Students are not dismissed until entire campus is clean, so many volunteers are needed.
First Aid

Full - no need for additional volunteers
Registered nurse or paramedic on site during tournament. Provides basic, preliminary medical assistance; coordinates with Paramedics for medical treatment.
Hand Stampers
Stamps hands of all band and pageantry members upon arrival. Students perform this function during the day; other volunteers during the evening.
